Executive Assistant - #998759

Your mission

To support our growing team, we are looking for an experienced Executive Assistant to work closely with our Heidelberg-based founder. In this role, you will take a hands-on and high-ownership approach to supporting leadership in navigating a fast-moving environment. This includes developing the structures, processes, and culture that enable high performance for a cutting-edge AI infrastructure company.

Your Role

• Anticipating needs, surfacing risks, and solving problems
• Own calendar, travel, and logistics management in Germany and worldwide
• Operate with strong judgment, knowing when to act independently and when to escalate
• Spot friction in day-to-day operations and proactively improve how things work
• Act as a coordination hub across teams (ie engineering, operations), helping align priorities and unblock execution
• Prepare and structure internal documents, presentations, and communications for leadership and external stakeholders
• Manage ad hoc, high-priority projects with high ownership and minimal guidance
• Help build lightweight structures and systems in a fast-evolving startup environment
  
  

Your profile

• Strong organizational and execution skills with a clear “get things done” mindset
• Experience supporting senior leadership and/or founders in a fast-paced, highly technical startup environment (consulting or VC experience also relevant)
• High level of ownership, reliability, and attention to detail
• Ability to manage multiple priorities across teams, stakeholders, and time zones
• Strong communication skills in English and German (written and verbal)
• Comfortable operating in ambiguity and building structure where none exists
• High level of discretion and trust when handling sensitive information
• Familiarity with tools such as Microsoft Office, Confluence, Jira, or similar SaaS platforms
• Based in or near Heidelberg, with the ability to join on-site regularly as part of a hybrid work setup.
